There’s a question I ask firm owners all the time: Are you building a job, or are you building a business?
The honest answer, for most of us, is that we’re doing both. Not because we’re undisciplined, but because the administrative drag is so real. The Workflow, As Simple As Possible
Here’s how it works. Inside Xero, you create a quote the way you always have. Once SignWell is connected, which takes about sixty seconds and a few clicks, you’ll see a “Sign on SignWell” option directly inside that quote. Click it, and you’re taken straight into SignWell with the quote already pulled in, the client’s contact information already populated, and a signature field already placed. Then you send it, the client signs it, and then the magic happens on the back end.
The signed PDF is automatically attached inside Xero. The quote status updates to ‘accepted’. A timestamped event log gets added to the Xero record so you can see exactly what happened and when. And if you’ve enabled the setting, the signed quote automatically converts into a draft invoice. Sweet!
No downloading. No re-uploading. No toggling between tools to check the status. The loop closes itself, and it takes away this ultra-manual part of sending quotes, having them signed, then creating invoices.
Why Does This Actually Matters For Firm Owners
The time we all spend on administrative follow-up isn’t just inconvenient. It’s a symptom of a business that hasn’t been designed to run without you in the middle of every transaction.
When you’re the one tracking down signatures, you’re also the bottleneck (which is often true for founders/owners). Think about what that step normally looks like: you confirm the quote is signed, you go back into Xero, you manually create a new invoice, you re-enter the line items, and you make sure the client details match. It’s five to ten minutes on a straightforward engagement. On a busy week with multiple new clients, that’s an hour of re-keying information that was already in your system.
With this setting enabled between SignWell and Xero, that step disappears. The signed quote becomes an invoice automatically. The reference back to SignWell is even captured in the invoice, so you have a clean audit trail. It’s a small thing, technically. But in practice, it removes an entire category of administrative work.
Compliance Is Already Built In
One thing that often comes up when firms consider digital signatures is the question of audit trail and compliance. SignWell handles this natively since every signed document includes a detailed audit report capturing the who, what, and when of the signing event. That report is included in the PDF that syncs back to Xero, so your documentation is already in order without any extra steps. Again, sweet!
